Job Title: Administrative Assistant

Job Description:

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The successful candidate will provide comprehensive administrative support to Blackstone Credit & Insurance PCS team, ensuring the smooth operation of daily activities. The ideal candidate will possess excellent communication skills, strong technical skills, and the ability to handle confidential information with discretion. This role requires a proactive and solution-oriented approach, as well as the ability to work independently and collaborate effectively with others.

Responsibilities:

  • Provide administrative support to the team, including calendar management, travel arrangements, expense reporting, and meeting coordination.

  • Handle confidential and sensitive information with the utmost discretion and maintain a high level of integrity.

  • Perform tasks with minimal supervision, taking personal initiative and demonstrating ownership.

  • Adapt to changes in coverage model and collaborate with other assistants to ensure seamless support.

  • Collaborate and partner with other administrative assistants to ensure team coverage and foster a positive work environment.

  • Utilize strong technical skills, including proficiency in Microsoft Office applications (Excel, Word, PowerPoint, Outlook) and related software.

  • Exhibit exceptional organizational skills, attention to detail, and the ability to juggle multiple responsibilities with accuracy.

  • Manage time effectively, prioritize tasks, and switch between tasks quickly to adapt to changing business needs.

  • Anticipate and proactively solve problems, demonstrating a proactive and solution-oriented approach.

  • Communicate professionally with peers, senior management, and individuals at all organizational levels, both verbally and in writing.

  • Foster connections, and maintain excellent phone manners.

  • Work independently while seeking guidance when needed and collaborate with others to support team.

  • Collaborate with global teams, understanding cultural and time zone differences.

  • Maintain a positive attitude, be a team player, and exhibit a strong commitment to excellence.

Qualifications:

The successful candidate should have:

  • 3+ years of administrative support experience, preferably in a dynamic environment or financial services industry.

  • Proven track record of sound judgment, discretion, and integrity when managing responsibilities.

  • Strong technical skills, including advanced knowledge of Microsoft Office applications (Excel, Word, PowerPoint, Outlook) and related software.

  • Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks and priorities effectively.

  • Excellent communication skills, both verbal and written, with the ability to interact professionally with individuals at all organizational levels.

  • Ability to work independently, take personal initiative, and demonstrate ownership of tasks.

  • Proactive problem-solving skills and the ability to anticipate and address issues in a timely manner.

  • Strong interpersonal skills and the ability to collaborate effectively with a diverse team.

  • Ability to adapt to changing priorities and work under tight deadlines.

  • High level of professionalism, reliability, and dedication to providing exceptional administrative support.

Expected annual base salary range:

$80,000 – $130,000

Actual base salary within that range will be determined by several components including but not limited to the individual's experience, skills, qualifications and job location. For roles located outside of the US, please disregard the posted salary bands as these roles will follow a separate compensation process based on local market comparables.

Additional compensation: Base salary does not include other forms of compensation or benefits offered in connection with the advertised role.
