Maintenance Coordinator

 

Mission: Responsible for managing, tracking, and ensuring the timely execution of Planned Preventative Maintenance (PPM) and Health & Safety compliance tasks. The role is predominantly office-based and focuses on the efficient use of management systems such as H-mobile, Alert 65 Compliance, and Opera Hospitality PMS. The coordinator will prioritize, delegate, and monitor tasks, ensuring the smooth operation of the hotel’s maintenance activities and strict adherence to all safety standards.

 

Responsibilities will include, but are not limited to:

  • Maintain and update the Planned Preventative Maintenance (PPM) schedule, ensuring all tasks are logged, assigned, and completed on time.
  • Utilize the H-mobile system to track maintenance activities and generate reports for the Maintenance Manager.
  • Coordinate with the maintenance team to delegate tasks based on priority, time, and resource availability.
  • Oversee the Alert 65 Compliance system, ensuring all Health & Safety tasks are tracked and completed in accordance with legal and company standards. Additionally, regularly update compliance records and produce reports for management review.
  • Manage and operate the Opera Hospitality PMS system to ensure all maintenance requests from other departments are logged and addressed promptly.
  • Prioritize maintenance and delegate tasks to the maintenance team. Monitor the completion of these tasks.
  • Assist the maintenance team with the procurement of tools, materials, and supplies necessary for maintenance tasks. Monitor stock levels and      coordinate with suppliers.
  • Act as the main point of contact for all administrative tasks within the maintenance team.

 

What are we looking?

 

  • Proven administrative experience preferable within Hospitality or facilities management sector.
  • Familiarity with maintenance management systems (e.g., H-mobile) and compliance software (e.g., Alert 65).
  • Proficiency in Opera Hospitality PMS or similar systems.
  • Excellent communication skills, both written and verbal.
  • High attention to detail and a proactive approach to problem-solving.
  • Ability to work independently and as part of a team.
  • Knowledge of Health & Safety regulations and compliance standards is an advantage.
  • Be fluent in English and additional language would be a plus.

 

The successful candidate must already have eligibility to work in the UK.
