About the role:

Responsible for selling the hotel and providing information to prospective guests, with an increased focus on Corporate, Preferred Partners, American Express Fine Hotels and Transient segments.  Responsible for assisting Senior Sales Manager and growing the hotel’s business in these segments. Also responsible for capturing sales from incoming reservations calls and coordinating details of each reservation to ensure the guest satisfaction.

Responsible for assisting with reservation calls for both PBX and Spa. Responsible for GRS duties such as attending monthly calls and checking Key daily to ensure profiles are being reviewed and updating guest details as needed (ex: emails, phone numbers, guest titles and pictures). This position will split time roughly 50/50 between Reservations and Sales.   

ESSENTIAL FUNCTIONS:

  • Capture sales from in-coming and outgoing reservations calls for corporate, Preferred Partner, BAR and American Express Fine Hotels & Resorts, Cielo & spa reservations and coordinate details of each reservation.
  • Answer general reservations e-mail, retrieve and distribute mail and process brochure requests. The ability to trace reservations and amenities.  
  • Take ownership and handle guest complaints until fully resolved in accordance with Four Seasons policy.
  • Call to confirm and/or guarantee all Preferred Partner reservations, clear waitlisted reservations.
  • Run appropriate reports checking for special requests and hard blocking any rooms that are not hard blocked for special requests, inform Manager of any Special Attention, VIP guests and in obtaining arrival times for VIPs or Special Attention guests.  Uphold all guest profile standards. 
  • Comply with Four Seasons standards for sales and marketing, while working harmoniously and professionally with co-workers and planning committee. 
  • Respond according to the crisis management plan to any resort emergency or safety situation.
  • Comply with Four Seasons Category One and Two Work Rules and Standards of Conduct as set forth in EmPact
  •  Complete Corporate rate loading upon request. 
  •  Prepare necessary documents for sales trips and cover corporate manager tasks, when the Sales Manager is out of the office. 
  •  Assist Sales Manager in managing request for proposals, Private reserve agreements, corporate resumes, and detailing small groups.
  • Cover Corporate Sales Manager territory, when sales manager is out of the office or on sales trips.
  • Perform rate audits for corporate accounts and update & maintain corporate rate sheets.
  • Run reports out of Hotelligence, Op Agent, Opera, and Rev Finder
  • Takes reservations calls for Spa reservations and PBX.
  • Attends monthly GRS meetings
  • Daily checking of profiles prior to guests arrivals. Profiles must be reviewed via Golden and Opera and will be updated accordingly in regards to emails, phone numbers, pictures, etc.
  • Tickets will be submitted to merge profiles

NON-ESSENTIAL FUNCTIONS:

  • Assist with all guest inquiries within the sales and marketing department, including assisting with high telephone volume and walk-in site inspections.
  • Assist with the development of all direct sales presentation material.
  • Assist other Coordinators as needed on phone coverage and other potential duties
  • Assist with phone coverage for Reservations as needed
  • Other duties as assigned

What we are looking for:

We are looking for individuals who have strong organizational, attention to detail and interpersonal skills, are able to prioritize and adapt to the changing needs of the operation, and can evidence having a solid work ethic, good business acumen and a passion for service. Ability to multitask with a high level of creativity is a must!

We are looking for candidates who have excellent interpersonal and communication skills. Good problem solving ability and proficiency in Hotel property management systems. Fluency in reading, writing, and spoken English is also required. Applicants are required to have two to three years experience directly related to customer service. A college degree is preferred. Irregular hours to include weekends and evenings should be expected.
