Job Description

SUMMARY OF POSITION

The Housing Admin will be responsible for coordinating and administering a range of Housing activities and projects. The role holder will be the first point of contact for housing queries and be responsible for all related administration.

 

The position of Housing Admin will report to the Cluster Director of Employee Services. It is a key operational colleague role with the opportunity to make a direct impact on the safety and proper maintenance of our community facilities, accommodation, and healthy living conditions for our employees.

 

Administration

  • Raise request on Material Control – monthly stationary request, etc. & ONEX request.
  • Raise claim expense and any other form as and when required.
  • Follow up on Housing documents that are under signature process.
  • Monitoring Housing Maintenance Record and follow up
  • Maintain employee documents in housing files as and when its required.
  • Prepare Payroll Deduction Form as and when it is required.
  • Follow-up any pending maintenance issues from Engineering department as and when required.
  • Ensure the accommodation Notice Board is up to date with relevant informations.
  • Ensure that our AccorHotel’s values are being practiced/demonstrated in our daily interactions with our colleagues and external guests.
  • Ensure to keep professional and amicable interactions with all the departments in the Accommodation and to everyone regardless of their job levels.
  • Prepare new joiners welcome kit as per agreed standard (e.g. welcome card, welcome pack, printed accommodation rules and regulations, etc.) for on-boarding new employees.
  • Keep proper records of all inventories.
  • Accompany employees to nearest hospital in case of emergencies and further medical assistance required.
  • Assist Housing Leaders as and when required and not limited to rooms inspection; airport pick up; inventory, etc.

 

Monthly Reporting

  • Prepare the following monthly reports: maintenance report and accommodation matrix to be submitted to T&C team for awareness and update.
  • Monthly update for employees at level 5 and above living in Employee Accommodation to verify deductions.

 

Employee Transportation

  • Ensure all transportation is monitored as per schedule, on time, and cleanliness.
  • Organize transportation for medical, fingerprint, or additional bus services as and when required.

 

Employee Welfare Activities

  • Provide timely preparation and distribution of accommodation communication flyers and posters.
  • Actively assist and participate in all employee activities in Accommodation.
